Billing & usage limits

Clinical.ink tracks usage per organization. Each plan includes a monthly allowance of encounters, chat tokens, and seats. This guide explains what is included, where to check your balance, and what happens when you reach the limit.

Chat allowances vary by plan as well (Free: 200k tokens / month; Basic: 300k; Pro: 1.5M; Teams: 1M; Business: 5M). Enterprise tiers are tailored to your agreement.

Checking usage

  1. Open Settings → Subscription inside the app.
  2. The usage widgets show remaining encounters and chat tokens for the current billing period.
  3. The panel also lists your plan, renewal date, and the number of seats in use.
  4. Owners receive email alerts when 80 % of the monthly allowance has been consumed.

If you run out of encounters, you will not be able to start new transcripts until the allowance resets or the plan is upgraded. Existing drafts remain accessible.

Billing history & invoices

  • Go to Settings → Subscription → Billing history to see recent invoices.
  • Each invoice includes the charge date, amount, and a download link for the PDF.
  • If your subscription ever shows Needs sync, press Sync billing to refresh the connection with the payment provider.

Seats and invitations

  • Seat limits depend on your plan. When you invite a member and no seats remain, you will be prompted to upgrade or remove someone first.
  • Removing a member immediately frees a seat and updates the usage display.

Upgrading or downgrading

  • Select Change plan in the subscription screen to launch checkout.
  • Upgrades take effect as soon as payment succeeds. Additional encounters and seats become available immediately.
  • Downgrades take effect at the end of the current billing period. You keep your existing allowance until the renewal date.

Troubleshooting charges

  • Payment failure: We retry the card a few times. Update the payment method in the subscription screen to avoid account suspension.
  • Unexpected usage: Review the usage breakdown in Settings → Subscription. Each encounter shows the owner and timestamp.
  • Need custom terms: Contact support@clinical.ink to discuss Enterprise options.
